What is the difference?

Although both documents serve the same purpose – to request payment – there are decisive differences in how they are handled. A traditional invoice is a paper document or a PDF that must be manually opened, read and typed into the recipient's system. An e-invoice is a structured electronic document in a machine-readable format (for example OIOUBL or Peppol BIS) that can be processed automatically. Think of it as the difference between a handwritten message and a digital message that is automatically sorted and archived.

Processing and efficiency

A paper or PDF invoice requires an employee to manually open the document, read the information, enter the data, check for errors and archive it. This typically takes 5-15 minutes per invoice and carries a risk of typing errors. An e-invoice is received directly in the financial system, where all data is automatically transferred to the correct fields – in seconds and practically without errors. Multiply that by hundreds of invoices a month, and the difference speaks for itself.

Costs

A paper invoice typically costs several euros to process when accounting for labor, materials, and archiving. A PDF is cheaper to send, but costs almost the same to process for the recipient because it still requires manual handling or OCR scanning. In contrast, an e-invoice costs only a fraction of that to process.

The future is electronic

The EU's ViDA (VAT in the Digital Age) initiative will gradually make e-invoicing mandatory across all member states. Countries like Italy, France, and Poland have already implemented or are in the process of implementing mandates. The trend toward digital reporting and the efficiency of the Peppol network means that businesses investing in e-invoicing now will be significantly more competitive.
