Electronic invoice
An e-invoice is an invoice sent digitally as structured data (XML), allowing for automatic processing without manual entry.

Also known as: e-invoice

What is an e-invoice?

An e-invoice (electronic invoice) is an invoice that is issued, sent, and received in a structured digital format—typically XML. Unlike a PDF, which is essentially just a "digital picture" of a paper document, an e-invoice contains data that can be read and processed automatically by the recipient's accounting system. This means that information like the invoice number, date, and amount are captured instantly without any manual typing.

Legal requirements and standards

Across Europe and globally, e-invoicing is becoming mandatory. Most government authorities now require e-invoices for B2G (Business-to-Government) transactions. The most common international standard is Peppol BIS Billing 3.0. By transitioning to true e-invoicing now, businesses ensure they are compliant with future digital reporting requirements and the move toward a "paperless" global economy.

Benefits of e-invoicing

The primary advantage is automation. When you use a system like Inexchange, the invoice flows directly from the sender's system into the recipient's bookkeeping workflow. This eliminates the risk of human error, reduces administrative costs, and significantly speeds up the payment process. Additionally, e-invoicing provides much higher security, as the document is sent through secure networks like Peppol.
